Automate birthdays and points expiry

Turn on the automations that run quietly in the background - birthdays, expiry warnings, refund clawbacks and more.

4 min read

Why this matters

These two automations run all year without anyone touching them, which is exactly why their settings deserve attention. Birthday rewards fire once per member per year, and expiry warnings go out before points disappear rather than after.

What you'll need

  • Member birth dates collected, for the birthday programme
  • An expiry period decided, if you use one
  • 5 minutes

Steps

1

Turn on the birthday programme

Points, a coupon and/or a gift are sent once a year, automatically - even if the birth date was added late.

2

Set points-expiry warnings

If you set an expiry period, members are warned ahead of time with a table of exactly which points expire when.

3

Enable the "points are waiting" nudge

A guest who ordered but didn't join gets a reminder with their points, order number and hours left.

4

Confirm refund handling

Points from a refunded order are taken back automatically, the moment the refund is issued or the return is approved - your choice.

5

Leave it running

Every automation is a switch, not a project - revisit them only when you want to change the behavior.

Tip

Turn on refund clawback first - it's the one automation that protects your numbers from day one.
